Effective Date: October 7, 2026
This Cookie Policy explains the cookies and similar technologies used on cliniqsystems.com (the “Site”), operated by ClinIQ Systems Inc. (“ClinIQ,” “we,” “us,” or “our”), why we use them, which third parties may set them, and how to control them. It sits alongside our Privacy Policy, which describes the personal information we collect through the Site more broadly, and our Terms of Use.
This Policy covers the Site only. It does not cover the systems we operate for client practices under a services agreement, or the records we handle in that capacity — Section 8 explains why.
A cookie is a small text file a website asks your browser to store on your device, so that the site can recognize your browser on a later page or a later visit. Cookies set by the Site itself are first-party; cookies set by another organization whose service runs on a page are third-party. A session cookie is discarded when you close your browser; a persistent cookie stays until it expires or you delete it.
We use “cookies” in this Policy as shorthand for cookies and the related technologies that work in much the same way:
We use these technologies to:
We do not use cookies to collect clinical or patient information, and the Site is not designed to receive it.
These make the Site work and keep it secure. They support page delivery, form submission, load balancing, protection against automated abuse, and remembering your cookie choice. They do not track you across other websites. These cookies cannot be switched off through a preference control, because without them the Site does not function; you can still block them in your browser, but parts of the Site will then break.
These remember choices you make so the Site behaves consistently — for example, retaining what you typed into a form so it is not lost, or remembering a display setting. If you block them, the Site still works, but it will not remember those choices.
These help us understand how the Site is used: which pages are visited, how visitors arrive, how long they stay, where they leave, and where errors occur. The information is used in aggregate to improve the Site. It is not used to identify you personally, and we do not combine it with your inquiry to build a profile about you.
Where we run advertising, these cookies and pixels record which campaign brought you to the Site and whether a visit led to an inquiry, and they may allow the advertising platform to show our services to you or to similar audiences elsewhere. They are typically set by the platform, not by us, and are linked to your browser or device.
This is the category that matters most for your choices. Depending on your cookie settings, the use of these technologies may amount to “sharing” personal information for cross-context behavioral advertising under California law. Section 6 and Section 7 explain how to opt out, and our Privacy Policy sets out the related privacy rights.
We keep the list of third-party services on the Site deliberately short, and we would rather name fewer services accurately than list every tool we might one day use.
| Service type | What it does on the Site | Category |
| Website platform and hosting | Delivers and secures the pages you request and keeps server logs of each request | Strictly necessary |
| Appointment and call scheduling | Runs the booking tool on the contact page, and sets its own cookies when that tool loads | Strictly necessary for the tool; may include preference |
| Web fonts and content delivery | Loads typefaces and static files so pages render as designed | Strictly necessary |
| Analytics and measurement | Reports aggregate Site usage, where deployed | Measurement |
| Advertising and campaign measurement | Attributes visits and inquiries to campaigns, where deployed | Campaign and advertising |
| Embedded media and social content | Where we embed a video or a social post, the host may set cookies when that content loads | Measurement and advertising, set by the host |
A third party setting cookies through the Site acts under its own privacy and cookie practices, which we do not control, and we encourage you to read them. The services we use change over time as our Site changes; we update this table when they do. Where a service is listed as “where deployed,” it is not necessarily active on every page or at every time.
You have four routes to control cookies, and they work at different levels. Browser and device controls are the most reliable, because they apply regardless of what any individual site offers.
Where the Site presents a cookie notice or preference control, you can use it to accept or decline the categories that are not strictly necessary, and to change your decision later. Your choice is itself recorded in a cookie, so clearing your cookies will clear the record of it and you may be asked again.
Every major browser lets you see the cookies stored on your device, delete them, block third-party cookies, block all cookies, or clear them automatically when you close the browser. The settings sit in different places in each browser, so check your browser’s own help or privacy settings. Two things to expect: blocking strictly necessary cookies will stop parts of the Site working, including the scheduling tool, and because these settings are per browser and per device, a choice you make in one browser does not carry to another.
Some analytics and advertising providers publish their own opt-out mechanisms, including browser extensions and account-level advertising settings, and advertising trade bodies operate pages that let you opt out of interest-based advertising from participating companies at once. These tools are run by those organizations, not by us, and they cover only the companies that take part. They also generally store your opt-out in a cookie, so clearing cookies can undo it.
Mobile operating systems offer their own privacy settings, including controls that limit ad tracking or reset the advertising identifier on the device. Those settings apply across apps and browsers on that device and are worth setting if interest-based advertising is your concern.
Where applicable law requires it, we treat a recognized opt-out preference signal sent by your browser or an extension, including Global Privacy Control, as a valid request to opt out of the sale or sharing of personal information from that browser. Because the signal is tied to a browser and device, it does not reach other browsers or devices you use, and it does not change choices you made elsewhere.
Some browsers also offer a “Do Not Track” setting. There is still no agreed standard for how a site should respond to it, and sites interpret it inconsistently. We do not rely on Do Not Track as a control, and we recommend using the browser, device, and preference-signal controls above instead, since those have defined effects.
This Policy is about the Site. It does not apply to the systems we use to perform work for client practices — report preparation, record review and digitization, transcription, document and deadline management, authorization requests, billing, and collection. Those systems are governed by our services agreement and Business Associate Agreement with the practice and by the law applying to protected health information, as our Privacy Policy explains in more detail.
In practical terms: nothing you do with the cookie controls on this Site affects a patient record, a medical report, or a claim file held for a practice, and no cookie on this Site gives us or anyone else access to that material.
We update this Policy when the cookies and technologies on the Site change, when a third-party service is added or removed, or when the law requires it. The Effective Date above shows when it last changed. Because the third-party table in Section 5 is the part most likely to move, that is the part worth re-reading.
